- Task 4: Ask five students to test the chatbot and collect their feedback.
This small work package is easy to manage. It gives your team quick and visible results. It also helps you find mistakes early, before you spend money or time on complex development.
Digital Tools for Your Team
You do not need to track everything on paper. There are excellent digital applications that help you monitor your progress. Tools like Trello, Asana, or Notion are very useful. But how do you actually use them?
The best way to start is by setting up a digital Kanban board. A Kanban board is a visual tool that organizes tasks into simple columns. You can set up your digital board with three main columns:
- To Do: Place all the tasks from your work package here.
- Doing: Move a task here when a team member starts working on it.
- Done: Move the task here when it is completely finished.
Let us look at a practical example. If your teammate Maria is testing the AI chatbot prototype, she puts her task in the Doing column. She adds a deadline to it. She tags her name on the task.
Now, everyone on the team knows exactly what Maria is doing. You do not need to send extra messages or hold a long meeting to ask about her progress. You can easily see who is working on a specific component. These visual tools make team communication simple and clear.
